Part Time AR Business Office Assistant - 100% Remote

Schedule: 15 hours per week office day times

Pay Rate: $27-28 per hour DOE

The Business Office Assistant serves and cares for people in need by working as a member of the accounting and administration team to provide a variety of administrative functions for the residents. The Business Office Assistant assists the Director of Revenue Management by providing accurate and timely billing & collection services...assuring state and federal requirements are performed accurately and on time...serving as a resource to staff and managers on Accounts Receivable policies and procedures, including, but not limited to, Medicaid, Medicare A, Private Pay, Medicare Part B, Hospice, HMO, Third-Party Insurances, and Ancillary Charges.

The Business Office Assistant is responsible for the billing and claims follow-up, as well as securing all DSHS Award Letters for Medicaid residents. This position is also responsible for keeping the facility's EMR current by uploading chart documents electronically, as they pertain to the Business Office. Context: Bethany of the Northwest is a faith-based, not-for-profit, multi-service agency that employs 400+ workers, who operates 231 licensed Skilled Nursing Facility beds, 56 licensed Assisted Living beds, and operates 62 Transitional care beds in a Joint Venture with Providence Regional Medical Center. All services are highly regulated, and respect for the dignity, confidentiality, and the health of residents and clients is of primary concern. Key environmental factors that affect the Accounts Receivable Specialist include but are not limited to the following:
  • Not-for-profit, church-affiliated agency
  • Remote work, must have functional office space and phone available
  • Noise level in home office should be at a minimum to allow for claim and DSHS follow-up calls in a professional manner
  • Regular contact with Business Office staff and Supervisor
  • Computerized programs/Internet-connected environment
  • Ability to work independently most of the time, but must be team player
  • Department is small and has limited back-up and support services
Customers and Key Work Relationships: Reports directly to the Director of Revenue Management
  1. Administrator
  2. Finance Team at Corporate office
  3. Clinical Staff at ETCS
  4. Residents and Families of Bethany of the Northwest and Everett Transitional Care Services
  5. Representatives from vendors (i.e., Pharmacy, etc.) and third party payors (i.e., Medicaid, Medicare, Group Health, etc.)
  6. Representatives from legal firms and collection firms involved with trying to recoup assets for Bethany

Accounts Receivable Functions
  • Excellent tact and diplomacy in dealing with clients
  • Excellent oral and written communication skills in dealing with clients
  • Maintain databases that are necessary for the organization to function properly
  • Regular claim follow-up completed and documented in the EMR
  • Regular follow-up of outstanding DSHS Award Letters, including updating EMR
  • Work effectively with other departments so that month-end may be closed accurately and timely
  • Upload all chart documents to EMR as they pertain to this position
  • Financial records and other documentation established and maintained for ease of retrieval and in compliance with facility and regulatory procedures
  • Keep current on recent developments and law changes that affect the responsibilities of your position
  • Other functions as needed and requested

Qualifications

Competencies:
  • Must be a high school graduate or GED equivalent.
  • Minimum of two years experience working in an accounts receivable capacity, preferably in a health care or nursing home environment.
  • Will demonstrate the ability to serve and care for people in need.
  • Ability to understand and follow policies and procedures
  • Understanding of and ability to deal with confidential information with discretion
  • Protect Personal Healthcare Information (PHI) of our customers
  • Outstanding attention to detail and excellent time management skills
  • Written and verbal communication skills; ability to communicate well in groups as well as individually with employees and supervisors
  • Reliable and punctual attendance for scheduled hours and the willingness to be flexible in covering additional hours if needed
  • Knowledge of federal and state regulations/laws concerning accounts receivable and reimbursement issues
